Some weeks the coordination between teams drift. Nothing dramatic goes wrong, but by Friday you realise the work veered slightly off course on Tuesday and no one caught it. It’s a common pattern in cross-team delivery. The big failures aren’t always the real issues, sometimes it’s the small signals that never get surfaced early that become the biggest issues.
Project management research has long shown that teams who meet in a predictable rhythm tend to spot risks sooner and correct course faster, not because they work harder, but because they don’t leave the small things to chance.
Adding a light weekly check-in creates a habit that makes cross-team work predictable. Run the check-in the same way every week using one common agenda:
1. What moved?
The facts – no narrative, no commentary. Just what changed since last week.
2. What needs a decision?
Spot the bottlenecks and the friction points between the teams. Decide how to correct quickly. And elevate those that can’t be solved locally.
3. What is at-risk?
Surface anything that might slip or create a knock-on effect. A risk is easier to manage when it’s visible early. Leaders set the tone here – teams speak up early when they know raising a risk won’t be punished.
That’s it. No slides. No dashboard walk-through. The value comes from the conversation, not the presentation.
What it looks like in practice
Marketing expects the “What’s New” summary from Product by the 1st of the month. In the weekly check-in, early in the month, Product mentions they might slip this month by a day or two due to illness. Marketing adjusts their workflow accordingly and the slip is absorbed before it becomes a surprise.
Why this matters
Cross-team work doesn’t just need clarity, it needs a tempo as well. A light check-in rhythm gives teams a predictable place to raise concerns, ask for support, and to decide on trade-offs. It stops Tuesday’s problem from becoming Friday’s scramble.
Take our challenge
Run a 20-minute cross-team review this week. Three questions. One shared page. See what surfaces.
